A software vendor named Softrip wrote the cleanest statement of this problem I have seen. It appears in a blog post aimed at operators shopping for accounting software. "You might know how well your trips performed at the end of the year, but few tour operators know on a trip's individual basis."
Read that twice. A vendor of travel-specific accounting software, in a pitch to its own market, admitting that the industry it sells into does not actually measure the profitability of its core product. That is the state of tour operator accounting in 2026.
The answer, up front
Most tour operators cannot tell you which individual trips made money because the data required to close a trip-level P&L arrives over a 30 to 60 day window after the trip ends, lives in five different systems, comes from four different people, and nobody has the time or the mandate to assemble it. By the time the reconciliation could happen, the month is closed and the finance team has moved on. The annual margin looks fine. The trip-level variance stays invisible. Each row is legitimate. Each row is also a reason the trip-level P&L does not close on time.
